We are committed to protecting your privacy. We will only use the information that we collect about you lawfully (in accordance with the Data Protection Act 1998).

We collect information about you for two reasons: firstly, to process any order and, secondly, to provide you with the best possible service.

We will not email you in the future unless you have given us your consent. We will give you the chance to refuse any marketing email from us or from another trader in the future.

The type of information we will collect about you includes:

  • your name
  • address
  • phone number
  • email address

We will never collect sensitive information about you without your explicit consent.

The information we hold will be accurate and up to date. You can check the information that we hold about you by emailing us. If you find any inaccuracies we will delete or correct it promptly.

The personal information which we hold will be held securely in accordance with our internal security policy and the law. If we intend to transfer your information outside the EEA (European Economic Area) we will always obtain your consent first.

We may use technology to track the patterns of behaviour of visitors to our site. This can include using a "cookie" which would be stored on your browser. You can usually modify your browser to prevent this happening. The information collected in this way can be used to identify you unless you modify your browser settings.

Terms and Conditions and Cancellation Policy

DEFINITION

Conference Pembrokeshire is referred to as CP. The company using CP booking facilities is referred to as the Client. The facility signed up to CP, which will receive the bookings is referred to as the Member, also the Activity Provider, Venue Provider or Accommodation Provider.

COMMISSION

By joining the incentive you agree to the commission arrangement of 8% on all pre-booked business generated by Conference Pembrokeshire.

AGREEMENT

These Terms and conditions, together with the information on the Event Planner, shall constitute the contract between Conference Pembrokeshire (CP) and the Client. Such contract shall come into effect upon the last of the dates when signed by the client and CP, and CP shall have no obligation to the Client before that date. 

All rates are subject to availability. The Client or CP can cancel this agreement with 14 days notice in writing. 

BOOKINGS

A non refundable deposit of 25% is required on everything which is pre booked with CP.

If a Member is offering day or overnight rates this will include food and tea and coffee. 

PAYMENT

Settlement of the final invoice will be made at least 7 days prior to the event for which an invoice will be dispatched at least 14 days prior to the event. Payment may be made via credit card, BACs or cheque. Cheques should be made payable to “Conference Pembrokeshire” 

CLIENT PROPERTY

  • CP shall not be liable for any loss or damage to property owned by, or in the custody of, the Member or its guests, employees, agents or others. The Member is advised to arrange adequate insurance cover with a copy of the relevant policy to be provided to be provided to CP forthwith.
  • CP will not be liable for failure to comply with any terms or condition of this contract to the extent such compliance is prevented, hindered or delayed by any cause beyond its control, including but not limited to fire, storm, explosion, flood, Act of God, action of any government or governmental agency, shortage of materials of goods, strike or lockout.

CANCELLATION FEES

If a Client cancels a reservation, the Client shall pay CP a cancellation fee as follows:

No of days prior to arrival Cancellation Fee
Less than 30 days 50% of agreed tariff
Less than 14 days 100% of agreed tariff

If in either case CP is able to re-let the services an appropriate allowance will be made against the cancellation fee. 

CLIENT LIABILITY FOR DAMAGE

The Client shall be liable for any damage or loss (and costs or expenses arising thereby) suffered by the Member and caused by him/her or any employee or agent of his/her wheresoever or howsoever arising.

GROUP OR BLOCK BOOKINGS OF MULTIPLE ROOMS INFORMATION

Thirty days prior to the Date of Arrival, the Client shall submit the following information To CP:

  1. Room List indicating leader’s name
  2. Arrival time on the date of arrival and departure time on the date of departure.
  3. Request for special handling, if any.

Any special requests should be indicated by the Client upon return of the signed copy of this agreement and CP will advise whether these can be met.  CP will endeavor to meet the Client’s special requests in each instance, but where this is not practicable CP will provide the service in accordance with its normal operations.

INSURANCE

CP requires a copy of the Members current insurance policy, to be renewed annually, such copy to be provided to CP forthwith.

GRADED ACCOMMODATION

Conference Pembrokeshire is only able to accept AA or Visit Wales graded accommodation.

LIABILITY

CP will not be liable in any way whatsoever for the acts or omissions of the Client or Member whether or not such acts or omissions are negligent and/or in breach of any statutory duty and whether or not any form of damage or loss is caused as a result.

PHOTOGRAPHY

To retain a house style, complimentary photographs will be taken by a professional photographer. If you wish to approve the photographs please contact Pembrokeshire Tourism.

Membership will be by steering group approval.
